Active Membership Status & Validity

Current Members

  • Active status remains valid until 31 March of the following year after payment
  • January–March serves as a grace period with full access retained
  • Membership fees must be paid by 31 March to maintain Active status for April–December
  • Failure to pay by 31 March results in suspension of Active status and related rights
  • Participation in the General Assembly requires Active status for the relevant year
  • Active status can be reactivated at any time during the year by requesting a payment request via the online activation form.

New Member

Q: Who can become a member of WAITRO?
WAITRO membership is open to research and technology organizations, research-focused universities, and research laboratories (Full Members), as well as multinational enterprises, SMEs, and start-ups (Associate Members). All applications are reviewed by the WAITRO Secretariat in accordance with the WAITRO Constitution.

Q: Is WAITRO membership open to organizations worldwide?
Yes. WAITRO is a global network and welcomes eligible organizations from all regions.

Can individual researchers join WAITRO directly?
No. WAITRO membership is organizational. Individual researchers participate through their member organizations.

Q: What is the difference between Full and Associate Membership?
Full Members are research-driven organizations and form the core of the WAITRO community, with full access to programs and governance rights. Associate Members are primarily industry and business organizations that engage in collaboration, networking, and selected programs.

Q: Do Associate Members have voting rights?
No. Only Active Full Members may vote at the General Assembly or stand for election to the Executive Board.

Q: What is a Sustaining Member?
A Sustaining Member provides additional financial or in-kind support beyond the standard membership contribution. For Full Members, this means contributing at least twice the standard fee. Sustaining Members receive enhanced visibility, recognition, and priority engagement opportunities.

Q: What are the benefits of becoming a WAITRO member?
Benefits include access to international networks, participation in capacity development initiatives, collaboration opportunities, increased global visibility, and engagement in WAITRO activities. Access levels vary by membership type and status.

Q: Which benefits are exclusive to Active Full Members?
Only Active Full Members may:

Q: How much does membership WAITRO cost?

Fees are billed annually and must be paid by 31 March of the membership year, or within 90 days of admission for new members.

In exceptional cases, instalment payments may be considered. Organizations should contact the WAITRO Secretariat (China) and Operations e.V. (Germany) to discuss options.

Q: What payment methods does WAITRO accept?
Membership contributions are payable exclusively via bank transfer. All necessary payment details are included in the official payment request.

Q: Are membership fees refundable?
No. WAITRO membership fees are non-refundable.

Q: How long is Active membership valid?

Active status expires and access to member-only programs, services, and governance rights is suspended.

Yes. Active status can be reactivated at any time during the year by requesting a payment request via the online activation form.

Q: Do new members need to activate membership immediately?
Organizations admitted on or before 30 September must activate membership for the current year. Organizations admitted after 30 September remain active for the remainder of the year and will be contacted regarding activation for the following year.

Q: How does my organization apply for WAITRO membership?
Organizations apply by completing the online membership application form (link). Applications are reviewed by the WAITRO Secretariat, which may request additional information before confirming admission.

 Q: Who must sign the application?
The application must be signed by a senior official or authorized representative with legal authority to commit the organization.

Q: What happens after acceptance?
Accepted organizations receive official confirmation, activation instructions (if applicable), access to member communications, and invitations to upcoming activities.

Q: Do new members receive onboarding support?
Yes. An onboarding meeting is organized with the designated Contact Persons to explain benefits, access, and engagement opportunities.

Q: Will our organization receive a membership certificate?
Yes. After activation, members receive a digital membership certificate for the relevant year.

Q: Are WAITRO members listed publicly?
Yes. WAITRO maintains public listings of: All Members, Active Members, Sustaining Members. These listings support transparency, credibility, and collaboration within the network.

Q: Can members update their contact details?
Yes. Members may update their organizational and contact details by contacting the WAITRO Secretariat/ Operations e.V. Accurate contact information ensures proper access to communications, voting, and services.

 Q: What is a WAITRO Contact Person (CP)?
The Contact Person is the official representative responsible for receiving communications, coordinating participation, and sharing opportunities within the organization.

Q: How many Contact Persons are required?
At least two (primary and secondary). A third contact from the communications team is strongly recommended.

Q: What happens if a Contact Person leaves the organization?
The member organization must appoint a replacement and notify the WAITRO Secretariat without delay.
